Hollis Cemetery Trustees

Minutes of October 21, 2004

Attendees: Chris Buzzy - Chairman, Kathy Albee, Nancy Bell, Jeff Snow & Joe Oliver

The meeting was held in the Lower Town Hall and was called to order at 7:05 pm.

Minutes

Chris moved to approve the minutes of August 19, 2004 as amended. Nancy seconded and the motion carried unanimously. Kathy abstained

Old Business

Herm Stickney removed the trees from the East Cemetery. Chris informed the Trustees that a bill had not yet been received for this service.

Chem-Lawn treated the South Cemetery with a grub and weed treatment. Chris stated that it was the only cemetery with extensive damage.

Nancy gave the secretary the address of Virginia Wilkins. The secretary will write a letter requesting that Virginia trim the bushes around the Lund stone in the East Cemetery.

Dave Orde will be appearing before the Selectmen on Monday, October 25, 2004 to request permission to farm the land adjacent to the East Cemetery. The land he will be farming is the land the town just purchased for cemetery purposes.

The Eagle Scout Project at the Churchyard Cemetery is almost finished. Chris stated that two gates were installed but the gates still needed to be painted.

Peter Flynn offered to find age appropriate boy scouts to help with future projects in the Churchyard Cemetery. The Trustees hope to rebuild the rock wall and grade and seed.

Chris also stated that he found a couple of stones near the wall and placed them under the church overhang.

The secretary informed the Trustees that a tree had fallen down in the Pine Hill Cemetery during a storm a month or so ago. A request was made to the DPW to remove the tree and while doing so they left big ruts through the cemetery. Jeff/JP Lawn informed the secretary of the damage and she wrote a request to the DPW to remove the ruts. Jeff and Joe both stated that they did not see any ruts in the Cemetery during their visit recently.

Reggie Ouellette, Construction Management Services, was hired to survey the remainder of the North Cemetery. The money will come out of this year’s budget.

The results of the surveying will also be computerized.

Nancy stated that the rocks from Woodmont were still available at no cost to the Town. She did not believe it would be a problem to leave them there over the winter but would check with Lester.

Kathy received an inquiry about planting a dwarf bush on the lot of Barbara Rock. She informed the family that they would need to write a request to the Trustees asking permission. The family did not intend to plant until the spring and would write a letter at that time.

The Trustees approved a request from Vahrij Manoukian to place a bench at the East Cemetery. The Trustees approved the request with the following conditions:

1. The bench would be no more than four feet long

2. The bench would not be permanently affixed (no foundation)

3. The location of the bench would be coordinated with the Trustees at the time of installation.

New Business

2005 Cemetery Budget: The 2004 budget for the Cemetery Trustees was $20,951. Expenditures to the end of September were $8339. The Trustees agreed on an increased budget for 2005 of $28,250. The Trustees are scheduled to present the proposed 2005 budget to the Selectmen on November 1, 2004 at 7:20 pm.

The Trustees asked the secretary to find out what the $140.00 was for in the security account. They did not recall a bill for any security since last Halloween.

Joe explained that he visited the Pine Hill Cemetery and noticed several stones were broken. He did not feel the damage was vandalism. Jeff would like to see the stones repaired and offered to fix them himself if the Trustees wanted him to. The Trustees unanimously agreed to allow Jeff to fix the stones at the Pine Hill Cemetery. The Trustees unanimously agreed that the damage to these stones was not malicious.

Nancy tried contacting Marty Rogers and Nancy Bliden to inform them that the trees they planted in the East Cemetery were being cut down. She stated that she left several messages for them.

The Trustees would like to plant a new tree in place of the dead ones that were removed. Nancy agreed to contact Rogers and Bliden to see if they wanted a new tree planted. Kathy suggested asking the Colonial Garden Club if they would like to donate a tree for this purpose. She also suggested contacting the Girl Scouts for future projects.

The Trustees unanimously agreed to take some measures in preventing grub and weed control in the cemeteries next year. They looked at an estimate from Chem-Lawn and decided to get more estimates over the winter to review and compare. Kathy stated that she had several bad experiences when she used Chem-Lawn in the past.

Chris hoped if the portion of the North Cemetery stored on Cad Cam was acceptable the Trustees could budget approx. $1,000 to have the remainder of the North Cemetery stored the same way.

Note: A letter was written on Nov 22, 2004 to Virginia Wilkins requesting that she trim the bushes around the Lund stone in the East Cemetery.

Note: The secretary asked Paul Calabria what the $140.00 in the security account was paid out for. Paul explained that the Brookline Police Department submitted a bill in March of this year for police detail last Halloween.

Note: The secretary spoke to Arthur Leblanc, director of DPW, on October 22, 2004 and was told that the DPW removed the ruts from the Pine Hill Cemetery weeks ago.
