Hollis Cemetery Trustees

Minutes of August 19, 2004

Attendees: Chris Buzzy - Chairman, Jeff Snow, Nancy Bell and Joe Oliver

Absent: Kathy Albee

The meeting was held in the East Cemetery and was called to order at 6:30 pm.

Minutes

Nancy moved to approve the minutes of July 15, 2004 as amended. Jeff seconded and the motion carried unanimously. Chris abstained.

Inspection of East Cemetery

Jeff Babel, Dept. of Public Works, met with the Trustees to discuss the surveying problem in Section H of the East Cemetery.

Regarding the new area of lots between Eighth and Ninth Avenues, the Trustees and Jeff Babel discussed the following changes:

1) Move the Western bound (running North/South on the Eastern edge of Eighth Avenue) to the East 2FT. This will make the new area 40FT wide consisting of 3 12FT lots and a 4FT alley (instead of the existing 42FT consisting of 3 12FT lots and a 6FT alley). Considering the three 12FT lots from left to right (West to East) we want to:

2) Officially establish the headstone placement for the left-most lots to be centered at 11FT from the 'foot' of the lot.

3) Officially establish the headstone placement for the middle lots to be centered at 11FT from the 'foot' of the lot.

4) Move the Ginanni headstone East 2FT to account for the 2FT shift of the Western bound referenced in 1) above.

(Deb to contact the family and inform them that the stone will be moved 2 ft.)

5) Officially establish the headstone placement for the right-most lots to be centered at 10FT from the 'foot' of the lot.

Joe moved and Chris seconded to approve the previously stated changes. The motion carried unanimously.

New Business

Nancy stated that she would contact Marty Rogers and Nancy Bliden to inform them that the Birch tree they planted in the East Cemetery many years ago would be cut down. The Trustees unanimously agreed that a new tree should be planted in its place.

The Trustees questioned the location of Jack Maguire’s lots.

The Trustees asked Kim to note on the deed card for Section H, Lots 681 & 682 that (Section H, Lots 733 &734) for Zinanni would now be encroaching a couple of feet onto the lot because of the resurveying.

The Trustees discussed what to do about trees that were planted with/without permission in the cemeteries. Jeff Babel, DPW, suggested drafting a contract .The contract obligates the applicant to maintain the planting and gives the town the right to remove the planting if not maintained.

Old Business

Jeff contacted Herm Stickney for an estimate to cut down the dead trees in the East Cemetery. Particularly the Birch and the dead Elm Tree (4 trunk) near the Bugbee stone.

Nancy moved to hire Herm Stickney to remove the trees. Chris seconded and the motion carried unanimously.

Chris stated that it was time to get quotes on grub treatment. Kathy handled getting quotes in the past so he stated he would contact her for direction. Chris stated he would bring the quotes in next month for review.

Jeff stated Gate City Fence was finished installing the fence at the Lawrence Cemetery and it looked great.

Nancy agreed to call the secretary with Virginia Wilkins address so that the secretary could write her a letter regarding trimming the bushes over her family stone.

Last month Nancy stated that Dan Brown, Northern View, was still in business. She meant to say that Northern Lights were still in business. She confused the two companies. Chris stated that quotes were received by both companies, but the Trustees voted to hire Northern View. Chris stated he could not get in touch with Dan Brown, Northern View.

Nancy stated that she would contact Dave Orde, Lull Farm to see if he was still interested in farming the land the Town just purchased.

Chris stated that the town closed August 18, 2004 on the purchase of the cemetery land. He congratulated everyone on a job well done.

Chris informed the Trustees that the eagle project in the Churchyard Cemetery was moving along very well.

The secretary informed the Trustees that only about 20 lots remained for sale in the North Cemetery. She suggested having the next section surveyed. Chris stated that money was in the budget to have the next section surveyed this year.

The secretary forwarded a suggestion from Deb Adams to consider Reggie Ouellette, the town’s engineer, for surveying the North Cemetery. Deb to contact him and find out if he is interested.

The Trustees tabled further discussion until next month.

Debbie has not heard from Dona Lowe.

Next Meeting will be held September 16, 2004 at 6:00 PM in the North Cemetery. They will also visit the Pine Hill Cemetery.

Chris moved and Nancy seconded to adjourn. The motion carried unanimously. The meeting was adjourned at 7:30 pm

NOTE: On August 31, 2004 a proposal from Construction Management Services to survey Sections F, G, H, and I of the North Cemetery was approved by Chris Buzzy – Chairman for the amount of $1,480.00.
