Minutes August 18, 2005

The meeting was held at the Pine Hill Cemetery, and was called to order at 6:35 p.m. by Jeff Snow, who filled in as chairperson.
Minutes:
N. Bell moved to accept the minutes of July 21, 2005 as submitted, and it was seconded by J. Oliver. The motion carried unanimously.
Old Business:
J. Snow has been in contact with Roger Pelletier of Gate City Monument regarding the repair of certain stones at South Cemetery. Mr. Pelletier proposed repairing all of the stones south of a line oriented east-west, for an estimated labor cost of $3,000, and approximately $500 in materials. This amount exceeds both the budgeted total of $1,200.00 as well as the scope of the work he was asked to bid on. Mr. Pelletier suggested that he could also work on a time and materials basis until the budgeted amount runs out. In that scenario, stones to be repaired would be marked with a grade stake and ribbon that describes the needed work. J. Snow has also been in touch with Dick Medlyn of Medlyn Monuments, who has agreed to look at the stones in question and perhaps offer a bid. It was noted that this work needs to be contracted soon, so that the repairs can be completed while the weather is favorable.
N. Bell moved that J. Snow be given the authority to hire a contractor to repair as many stones as can be done for a cost not to exceed $1,200.00. J. Oliver seconded, and the motion was unanimously supported.
A discussion of the state of the lawn at North Cemetery centered around the feasibility of overseeding it sometime in September. It was noted that there is a total of $1,291.00 given by an anonymous donor for the specific purpose of improvements at the North Cemetery. J. Oliver will contact JP Lawn Maintenance, Lawn Dawg, Eckstrom Lawn Care and Lacroix Brothers Landscaping to solicit bids for this work.
Doug informed the Trustees that he is working on an application to the Hollis Historic District Commission to remove a line of trees along the border of the Churchyard Cemetery and Memorial Park, and construct a fieldstone wall. He has visited the site, taken photos and identified the trees proposed to be removed. The application deadline for the Sept. 15th meeting of the HHDC is September 1. This work would be contracted out and be completed as funds become available.
New Business:
N. Bell expressed her concern about mowing at the South Cemetery. She stated that the "lawn" just outside the northerly gate and heading 2 fence-lengths along Rt. 122 north to the cemetery corner has not been mowed, and looks untidy. She suggested that Kim Dogherty contact JP Lawn Maintenance with our concerns.
A letter has been received from Susan L. Noyes of St. Johnsbury, VT, daughter of the recently deceased Mr. LeRoy Truell. Ms. Noyes asks the Trustees to approve a solar-powered perpetual light to be installed on the top of her parents’ headstone, to be located in the North Cemetery. The Trustees discussed this issue, and agreed that more information is needed, and suggested that a letter be written to Ms. Noyes asking for details about the proposed lamp (description, photo or drawing, method and place of attachment, type of bulb, brightness, perhaps a brochure, etc.) We also discussed the need to determine a policy regarding artificial illumination within cemeteries, including drafting a new rule and regulation pertaining to this issue. J. Oliver stated that he thought a list of what is specifically forbidden ought to be drawn up (artificial flowers, etc.)
An invoice from JP Lawn Maintenance for lawn mowing totaling $1,010.00 was signed by N. Bell.
Inspection of Pine Hill Cemetery:
The Trustees agreed that the condition of the cemetery is generally good. The lawn looks good, despite the prevalence of crabgrass everywhere. Most of the stones are in good shape, but the following were noted:
Leonard Blood: broken in 2 pieces (a previous repair failed.) J. Snow will rebond with epoxy.
A large raspberry bramble in the southeast corner of the cemetery needs to be removed.
A small stone marked "May", located in front of the George Dow monument, has been separated from its pedestal. J. Snow will reattach.

Next meeting will be held on Thursday, September 15, 2005 at the Lower Town Hall at 6:30 p.m.
There being no more business to discuss except for the mosquitoes, a motion to adjourn was made by N.Bell at 7:50 p.m., and seconded by D. Gagne. The motion was carried unanimously.
