Hollis Cemetery Trustees

Minutes July 20, 2006

Attendees: Doug Gagne - Chairman, Chris Buzzy, Joe Oliver, Jeff Snow and Nancy Bell

The meeting was held in North Cemetery and was called to order at 6:30 pm.

Minutes

Jeff moved to approve the minutes of June 15, 2006 as submitted. Nancy seconded and the motion carried unanimously.

Inspection of North Cemetery

The Cemetery looked great. The over seeding that was done last year greatly improved the overall appearance of the cemetery. Nancy noticed a pile of leaves near the entrance and will contact Ekstrom to have them removed.

These stones were in disrepair:

John Mooar – stone broken and down

Polly Clapp, wife of Capt. John Clapp – leaning

Doug volunteered to hand rake and over seed a 10-foot section of the grass that was not growing. He hoped these results would help the Trustees to determine the next step regarding lawn maintenance of the area.

The secretary was asked to contact Jim Belanger to ask him if the VFW put the flags on the graves. They also wondered if the VFW would come back and remove the flags.

Old Business

Doug contacted Kevin Gardner, possible candidate to construct the Churchyard Cemetery wall, and unfortunately he was unable to attend tonight’s meeting. Kevin would be able to attend the meeting on August 17th. The Trustees agreed to meet Kevin at the Churchyard Cemetery on August 17th at 6:00 pm.

The Trustees received two quotes to do the excavation work for the wall at Churchyard Cemetery.

Ekstrom submitted a quote for $5,021.00. Ekstrom was concerned that there was a stump and a large tree in the path of proposed location of the trench.

Jennings submitted a quote for $4000.00-4,500.00. Doug noted two mistakes on this quote.

The trench would be 30" not 3"

The amount of crushed stone needed would be at least double the amount quoted.

Chris moved to hire Jennings for the excavation work with the understanding that the trench in fact be 30" and the correct amount of stone would be included in this price. Nancy seconded and the motion unanimously passed.

Chris asked the secretary to confirm that Jennings had a current insurance binder on file.

Note: Jennings has a current insurance binder effective through 2007 on file at town hall.

The Trustees asked the secretary to deduct the funds for this excavation project from the grounds maintenance line item of their budget.

Nancy reported that the work and clean up at the Churchyard Cemetery was completed and done to her satisfaction.

The secretary was asked to contact Reggie Ouellette and ask him to mark the last bound at the Churchyard Cemetery

Note: The secretary contacted Mr. Ouellette the following morning and by 10:00 a.m. he reported that he had just marked the bound.

The secretary reported she had not heard from the Zinanni family. She wrote them a letter last month informing them that their headstone would be moved a couple of feet in July. Chris agreed to contact Medlyn and schedule the stone to be moved to it’s correct location.

The Zinanni stone located in the East Cemetery Section H-733, 744 will be moved two feet and will encroach on the Horn Lot, Section H 681,682.

The Trustees approved the expenditure of $375.00 last month to have Dick Medlyn repair six stones in the Churchyard Cemetery. Jeff stated that he contacted Dick the next day to inform him he was hired for the job but only reached an answering machine. At this point Jeff still had not spoken to Dick but he said he would get in touch with him as soon as possible.

The Trustees asked Jeff to also ask Dick if he would also

Move the Zinanni stone to its correct location in the East Cemetery

Move the 3-5 headstones in the Churchyard Cemetery during the excavation process and then return them after the project was complete

Jeff agreed to take a look at the Blood stone in the Pine Hill Cemetery and report the damage to the Trustees at next month’s meeting.

New Business

Doug while visiting Pine Hill Cemetery noticed that a beer bottle and napkins were mowed over and shredded. He contacted Ekstrom and informed him of this problem. Doug stated that Ekstrom responded quickly and handled the problem immediately.

Requests

Last year a request was denied to install solar powered lights at the gravesite of Leroy Truell. During their inspection of the cemetery The Trustees noticed that similar solar lights were in fact at this site. The Trustees removed the lights and asked the secretary to contact the family. The secretary will keep them at the town hall until the family picks them up.

Interments (January- July)

Information is not available to the secretary at this time.

Next Meeting will be held August 17, 2006 at 6:00 PM in the Churchyard Cemetery and will then continue at the South Cemetery.

Nancy moved and Jeff seconded to adjourn. The motion carried unanimously.
