Hollis Cemetery Trustees

Minutes July 19, 2007

Attendees: Doug Gagne – chairman, Scott Fisher, Jeff Snow and Nancy Bell (arrived at 6:50)

Staff: Kimberly Dogherty, secretary

Absent: Chris Buzzy

The meeting was held in the Lower Town Hall and was called to order at 6:40 pm.

Minutes

Scott moved to approve the minutes of June 21, 2007 as submitted. Doug seconded and the motion carried unanimously. Jeff abstained and Nancy was not present at time of approval.

Inspection of North Cemetery

Doug visited North Cemetery earlier in the day and stated that it looked fine although visibility was poor due to the rain. The Trustees agreed to schedule inspection of the North Cemetery later in the summer.

Old Business

Doug updated the Trustees on the progress of the Churchyard Cemetery stonewall. Kevin Gardner, contractor, will be ready to complete the project in a couple of weeks. The Trustees needed to find more stones to finish the project. Doug met with Peter Baker, Land Stewardship Committee Chairperson, to discuss the possibility of the Trustees using the foundation stones of an outbuilding at Woodmont Orchards for the stonewall project. Doug felt the stones the foundation stones would work perfectly. The Trustees were pleased. Doug wanted to meet with the BOS on Monday, July 23, 2007 to give them an update on the stonewall project. The secretary agreed to set up the appointment with Cath Hallsworth, Director of Administration.

The secretary informed the Trustees that Senka Fallen was very happy to purchase three lots surrounding her lot so that she may erect an upright monument. The Knight family has not yet turned in their two lots but when they do they will be sold to Senka Fallen.

Doug, after reading last month’s minutes, realized that he was supposed to have written a letter to Mrs. Moore regarding the complaint letter she wrote. Doug apologized and agreed to contact her immediately.

The Trustees tabled the discussion regarding their trust fund. Jeff wanted to discuss the current process of purchasing a deed, signing of the deed and the percentage of the lot price going to perpetual care. The Trustees agreed to discuss these topics in the winter months. The Trustees asked the secretary to research cemetery lot prices in surrounding towns for their review.

New Business

The Pine Hill Cemetery had a couple of stones fall from the roadside stonewall this past winter. Doug stated that the Cemetery otherwise, looked good. Doug received a phone call from an attorney whose client wished to donate money to the Trustees for the care of their lot in the Pine Hill Cemetery. Doug explained the donated money would only be for their specific lot. The Trustees seemed to agree that they could not care for one specific lot any different than the others. Doug asked the attorney to write a request to the Trustees so that they understood exactly what her client was asking them to do. The secretary stated that she had not yet received the request letter.

Nancy moved and Scott seconded to adjourn. The motion carried unanimously. The meeting was adjourned at 7:48 pm.
