Minutes June 15, 2006
Attendees: Doug Gagne - Chairman, Chris Buzzy, Joe Oliver, Jeff Snow and Nancy Bell
The meeting was held in the Churchyard Cemetery and was called to order at 5:30 pm.
Minutes
Jeff moved to approve the minutes of April 21, 2006 as submitted. Nancy seconded and the motion carried unanimously.
Old Business
Jeff, earlier in the month, spoke to Dick Medlyn regarding fixing stones in the Churchyard Cemetery. There were several stones that needed repairs. The Trustees had $1,000 in their budget for monument repairs.
Jeff moved to hire Dick Medlyn to repair six stones in the Churchyard Cemetery at the cost of $375.00. Chris seconded and the motion carried unanimously.
Reggie Ouellette was hired to survey the bounds at the Churchyard Cemetery. The Trustees noticed pink flags at two bounds but one was missing. The Trustees asked the secretary to contact Reggie to mark the missing bound for them.
The Cemetery Trustees agreed that they needed to hire a company to remove the stumps, clear the brush and lay the foundation for the stonewall immediately. They did not figure the cost for this work to exceed $5,000. Chris suggested that each member contact a different company to get price quotes as soon as possible. Doug offered to write a job description describing exactly what the job entailed. Doug agreed to forward this description within the next couple of weeks to all members. The Trustees wanted all of the quotes available to review at their next meeting.
A quote was received for the stonewall project from Kevin Gardner after the deadline had passed. The Trustees decided to have Doug ask Mr. Gardner to attend next month’s meeting. The Trustees planned to ask him questions and possibly hire him to build the stonewall. The Trustees figured that he would not be available this year but hoped to secure him with a contract to build the wall next year.
Doug suggested having all of the cemeteries fertilized immediately. Nancy thought they had decided in March to only fertilize in the fall. The Trustees discussed the budget and if they had enough money to fertilize all of the cemeteries in early summer and fall. Nancy agreed to look into this matter and if the funds were available have the cemeteries done ASAP.
Chris stated that he had tried unsuccessfully to contact the Zinanni Family to inform them that the Trustees needed to move there headstone several inches from it’s current location.
The secretary wrote a letter to the family on June 13, 2006 informing them that the stone would be moved in early July and if they had any questions or concerns they should contact her at town hall immediately.
Chris moved to have the Zinanni headstone moved to its correct location. Joe seconded and the motion carried unanimously.
New Business
Last month Nancy and Chris met at the East Cemetery. Although, there was not a quorum they reported that the cemetery look good for Memorial Day.
Nancy was informed by Ekstrom Landscaping that the stone for William Blood was broken and lying down in the Pine Hill Cemetery.
A request to plant two hydrangea plants and ornamental grass was discussed by the trustees (request attached to minutes). The Trustees wanted the secretary to note on the approval letter that they were not responsible if the lawn care company mistakenly mowed down the ornamental grass.
Jeff moved to approve the planting of two hydrangea plants and ornamental grass in the East Cemetery, Section I-913. Chris seconded and the motion carried unanimously.
Inspection of Churchyard Cemetery
The Trustees asked Nancy to contact Jason, Ekstrom Lawn Care, to ask him to remove the brush and lilies near the wall (library side of cemetery). Doug flagged the area around the work that needed to be done.
Doug, while visiting the East Cemetery, noticed that two dwarf spruce trees were planted at the Hunter Lot without approval. The secretary asked if the Trustees would have approved the request. The Trustees agreed to allow the trees to remain as long as the family continues to maintain and trim the bushes. The secretary agreed to write a letter informing the family of the Trustees decision.
