Minutes of May 20, 2004
Attendees: Jeff Snow, Nancy Bell and Joe Oliver
Absent: Chris Buzzy - Chairman and Kathy Albee
The meeting was held in the East Cemetery and was called to order at 6:30 pm.
Minutes
Jeff moved to approve the minutes of April 15, 2004 as submitted. Nancy seconded and the motion carried unanimously. Joe abstained.
Inspection of East Cemetery
The Cemetery looked good. Jeff noticed that the new 2 grave section of the cemetery looked bare without trees. He suggested planting trees soon. The Trustees requested the secretary to find out if the Houvenir stones were in the correct location. The two yews growing over the Lull family stone still need to be trimmed. Nancy agreed to find out what Virginia Wilkins exact address was so that a letter could be written to her requesting this is done. The Brocklebank and Viega Chartier trees both looked healthy.
Kim to instruct JP Lawn Maintenance on a few items that need attention:
1. Pick up all of the hay at the cemetery especially at the Hoar, Tolstrup and Warren stones.
2. Remove a small oak tree growing on Lund stone. (First row facing Wheeler Road)
3. Remove a maple tree growing beside the Bates stone. (Located in the center of the cemetery)
4. Prune the rosebush at the Graves stone.
5. Cut back 2 yews over Lull stone (near Hearse House)
Kim agreed to ask the DPW to cut the ropes holding the Viega Chartier tree up.
Jeff agreed to contact Herm Stickney for an estimate to cut down the dead trees in the East Cemetery. Particularly the Birch and the dead Elm Tree (4 trunk) near the Bugbee stone.
New Business
The Cemetery Trustees invited Dave Orde, Lull Farm, to speak with them about farming the land the town had just purchased. Dave felt the land was very nice and had great exposure for growing fruit. He explained that the center of the apple orchard was dead. He felt ARD (apple replant disease) would make it difficult to grow apples again. He felt peaches, nectarines, pumpkins, and cherries would prosper in this orchard. He offered to cut and stump all of the trees in the orchard in exchange for the wood. The Trustees were in favor of allowing Dave to farm the land. They informed him that the town was not closing on this property until July. The Trustees thanked him for his offer and stated that they would keep in touch.
Kim read an e-mail from Chris Buzzy addressing a few issues that he had taken care of over the past month. (Email is attached to the minutes)
Chris asked for his comments regarding the bid amounts regarding the Churchyard Cemetery be removed from last month’s minutes. The Trustees agreed that it was public knowledge. They will discuss this next month but did not remove the comments.
Old Business
Jeff met with Gate City Fence regarding pricing to fix the gate at the Lawrence Cemetery. He handed out a copy of the estimate (attached to the minutes) to everyone. He explained the estimate had two options,
1. New walk gate 5 ft. wide, one new 2 ½ " gate post black paint and paint one gate post. Dispose of old materials. $700.00
2. Front Line: 80 ft. - 2"x4" x 48" black yard gate. Install new 2" black posts. Other Fence Lines: Replace one post, straighten various posts and add ties where needed. $1135.00
Nancy moved and Joe seconded to hire Gate City to do the work (Option2, $1135.00) at the Lawrence Cemetery contingent upon the approval of funds by Chris – Chairman. The Motion carried unanimously.
Kim to find out which line item of the budget these funds would be withdrew from.
Nancy questioned if Chris had contacted Brookdale Farm requesting they donate stone for the stonewall at the Churchyard Cemetery. Kim did not know. Nancy noticed that Woodmont Orchards had an overwhelming amount of stones sticking out of their field. She agreed to contact them and find out if they would be willing to donate the stones
Nancy spoke to Pat Coughlin, Colonial Garden Club, regarding planting in Memorial Park. Pat explained to Nancy the club had already planted but kept plantings as far away from the cemetery border as possible. She explained that they did not want to interfere with the stonewall project.
Debbie has not heard from Dona Lowe.

Next Meeting will be held June 17, 2004 at 6:30 PM in the Churchyard Cemetery.

Secretary’s Note:
Kim spoke to Paul Calabria, Finance Officer, and was told the line item that the money would be withdrawn from would be Grounds Maintenance. There was not a line item for fences in the budget.
The Houvener stones were in the correct location according to cemetery records.
