Hollis Cemetery Trustees

Minutes of March 18, 2004

Attendees: Kathy Albee - Chairman, Nancy Bell, Jeff Snow and Chris Buzzy

The meeting was held in the Lower Town Hall and was called to order at 7:05 pm.

Minutes

Nancy moved to approve the minutes of February 19, 2004 as submitted. Jeff seconded and the motion carried unanimously. Chris abstained

Elections

Kathy nominated Chris for Chairman. Nancy seconded and the motion carried unanimously.

New Business

Kathy informed the Trustees that the Brookline Police Dept had submitted a bill from 10/29/03 for their services on Halloween weekend and it was paid.

The Secretary informed the Trustees that the deadline for the cemetery bids for the upcoming year is April 9, 2004.

Mark Johnson, Selectmen Chairman, introduced Peter Band, the newest member of the board of selectmen, to the Cemetery Trustees. Jeff Snow informed Mark Johnson that they had a vacancy on the board and would like them to appoint a new member. Mark Johnson stated that elected boards fill their own vacancies. Jeff stated that according to RSA 289:6 it is the responsibility of the selectmen to fill vacancies for the Trustees. Mark Johnson requested the secretary ask Cath Hallsworth, administrative assistant to the selectmen, to clarify who is responsible for filling vacancies.

Old Business

Debbie has not heard from Dona Lowe.

Jeff had not had a chance to contact Ken at Gate City for a price to fix the gate and fence surrounding the Lawrence cemetery. The discussion was tabled until next month.

Chris presented estimates for the Church Cemetery Improvements from Northern View, Dan Brown and Northern Lights. He personally recommended Northern View. Chris felt that Option C was the most economical choice at $19,240 with a 15% discount. It included a weathered boulder wall along the border of Memorial Park, tree removal, stump removal and lawn install on the library side of the wall. The estimate also includes tree removal, trim work, stump removal, lawn install, wall restoration along parking lot and a granite threshold opening for the gate. The estimate is attached to these minutes. The estimate included a price for headstone beds that they no longer needed. Chris will be meeting with Flynn, a scout troop member, next Monday night at the Church Cemetery to discuss some work that he may do for the Trustees. Flynn explained to Chris that he would like to help with clearing of brush, removal of rocks and would be willing to install the two gates in the cemetery. Kathy questioned if Historic District Commission approval was needed for this project. The secretary felt permission was needed for the gates only but would double check with the Commission.

The secretary suggested she contact Pat Coughlin regarding the timeline for Memorial Park renovations.

The Trustees hoped that Flynn would start work in the Spring. They also felt the wall would be the first to be done and noted that the cost of the wall would be $9,000 with a 15% discount.

Jeff requested that the daylilies around the flagpole be kept.

Nancy moved to hire Northern View for the Church Cemetery project. Chris seconded and the motion carried unanimously.

Kathy moved to increase the cemetery fees as follows:

The fees will be effective immediately. Jeff seconded and the motion carried unanimously.

Chris moved and Jeff seconded to adjourn. The motion carried unanimously.
