Hollis Cemetery Trustees

Minutes of January 15, 2003

Attendees: Kathy Albee - Chairman, Nancy Bell and Chris Buzzy

Absent: Jeff Snow and Sharon Howe

Kathy moved to enter into Executive Session per RSA 91-A:3-II-(d) for consideration of acquisition, sale, or lease of real or personal property. Chris seconded the motion. The motion carried unanimously.

Nancy moved and Chris seconded to end Executive Session. The motion carried unanimously

The meeting was held in the Lower Town Hall and was called to order at 7:10 pm.

Minutes

Chris moved to approve the minutes of December 04, 2003 as Submitted. Nancy seconded and the motion carried unanimously. Kathy abstained.

New Business

Kathy explained that the annual report deadline was this month. She used last years report as a guide when writing this year’s. She added a paragraph regarding the renovation of the Hearse House and will include two pictures in the report. The Trustees submitted the final copy of the report to be printed.

Chris asked if anyone felt the prices should be adjusted for cemetery lots. The Trustees all felt that the prices were low but needed to research surrounding town prices. The secretary will contact Amherst, Milford, Brookline, Mont Vernon, and Litchfield for prices on their cemetery lots.

The secretary to bring all related info, including Hollis pricing, to the next meeting so that the Trustees can make a decision whether or not to raise the prices of the cemetery lots.

Old Business

Debbie has not heard from Dona Lowe.

Kathy was not able to connect with Dick Medlyn due to the weather conditions. They decided to meet in the spring to discuss re-aligning the headstones in the East Cemetery that are out of line.

Kathy has left Clem Michaud several messages and has received no reply. She believes he may be out of town. She will pursue him again in the spring to request he fix certain stones.

The Trustees discussed the budget. Kathy explained that she had presented the budget for the upcoming year to the selectmen and had heard nothing. The secretary believed their budget was cut in the maintenance dept and agreed to find out if their were in fact any changes made.

Kathy spoke to Jeff Snow (earlier in the month) regarding the broken fence at the Lawrence Cemetery. Jeff explained to Kathy that he was afraid if the broken section of the fence was replaced the rest of the fence would look worse.

Kathy will get an estimate for replacing the entire fence including a larger gate.

Last month Chris presented plans to improve the Church Cemetery.

Nancy spoke to the church and they were in favor of the changes. The minister of the church informed her that he had a stone "Samuel Jewett" in his office that needed to be placed back in the cemetery. The Trustees asked the secretary to inform Sharon Howe so that she can take care of this situation. There is a slab of granite along the stonewall that Nancy will ask if the Trustees can have for this project. The Church informed Nancy that some PVC pipe is broken and they plan on fixing it ASAP but will coordinate with the Trustees so the cemetery can be seeded after the pipes are fixed.

Chris spoke with the Library Trustees and they had 2 concerns, how many trees would be cut down and if they would lose any of the parking lot. Chris assured them that the Trustees intended only to take the scrub trees and the project would not affect the parking lot .

Chris will bring the estimates next month for the improvements to Church Cemetery.

He also informed Nancy that the company he liked could use the slab of granite that is along the stonewall.

Deb (secretary) received a call from someone requesting to purchase a 1 grave lot in the North Cemetery directly ubutting a 1 & a 2 grave lot where her family is buried. This would now give the family 4 graves and allow them an upright monument. Kathy approved this request over the phone. The Trustees all agreed.

Deb also had to refuse a burial due to the weather. The family was understanding.

Next Meeting will be held February 20, 2004 at 7:00 PM in the Lower Town Hall.

Chris moved and Kathy seconded to adjourn. The motion carried unanimously.

Secretary’s Note:

The following day the secretary spoke to Paul Calabria (Finance Officer) and requested the cemetery budget figures. The grounds maintenance line was reduced from $18,900 to $13,900 and the Lime/Seed/Fertilizer line was reduced from $4,000 to $3,000.
